7 Questions to Ask Before Hiring a Manufacturing Staffing Agency

Choosing a manufacturing staffing agency comes down to seven answers: how they screen, how fast they fill, how they handle no-shows, who owns OSHA compliance, whether they know your industry, what their markup includes, and whether a real local human picks up the phone. Get straight answers to all seven and you’ll know exactly who you’re dealing with.

If you’ve been burned by a staffing agency before, welcome to a very large club. Somebody promised “best-in-class talent,” sent over a stack of résumés, and disappeared the moment a placement went sideways. The fix isn’t avoiding agencies. It’s understanding them. Ask these seven questions and listen for specifics. Vague is also a verdict.

1. How do you screen and qualify workers for manufacturing environments?

A great answer to this questions names the multiple steps: pre-screening, skills assessments when needed, reference checks, safety training, and matching to your actual environment by pace, PPE, physical demands, etc. At Staffmark, we assess every candidate before you see a name, using AI-assisted pre-screening for speed and recruiter-led assessments for substance.

Run the math on one missed shift: if each station on your line produces $2,500 in output per shift, a single no-show costs you lost throughput, an overtime premium to cover the gap, elevated quality risk from a rushed backfill, and a morale tax on everyone who did show up. Multiply that across a 40-person floor with a double-digit absence rate, and you’re funding a small department that never clocks in.

2. What’s your fill time and what does your guarantee look like?

A great answer has numbers in it. For standard light industrial and production roles, Staffmark can often place qualified talent within 24–48 hours And if a placement isn’t working, your local branch replaces that candidate fast. Ask any agency to put their answer in writing and ensure they map out what happens when the guarantee window closes. A promise is only as good as the fine print below it.

3. How do you handle no-shows and last-minute replacements?

The morning someone doesn’t badge in is when you learn what your staffing agency is made of. Listen for clues to their preparedness, such as a standby pool, a proactive call-out protocol, and a same-day replacement process. (We wrote the playbook on this one: how to reduce no-shows on your manufacturing floor.)

4. Who owns OSHA safety and compliance documentation?

The right answer is precise for Staffmark: the agency (that’s us) handles pre-hire general safety screening and maintains compliance documentation. The business (that’s you) retain responsibility for worksite conditions. Staffmark talent complete any OSHA-required safety awareness training and assessments before arrival. We are also backed by an in-house safety and compliance team, a highly valuable resource for customizing support for regulated environments where requirements go beyond general OSHA standards.

5. Do you have real experience in my industry?

“We staff everything” means they specialize in nothing. Push for specifics: GMP documentation for medical device, FSMA basics and sanitation standards for food and beverage, takt time for automotive. An agency that speaks your industry’s language is able to effectively screen candidates for it. One additional tip is to ask for a story instead of a slide. As them to describe the last time they staffed a facility like yours, what went wrong, and how they fixed it.

6. What’s in your markup?

A great answer itemizes in plain language: wages, taxes, workers’ comp, recruiting costs, and clear conversion terms for temp-to-hire with no upfront-fee surprises. And remember: the cheapest markup with a high no-show rate costs more by Friday than a fair rate with people who show.

7. How local are you, really?

When a line is down at 6 a.m., a national call center won’t save you. Ask who, by name, answers your call. Staffmark’s local branch model puts a real decision-maker in your market. You have someone who knows your labor pool, not a hotline reading from a script. For larger operations, ask about onsite programs: a dedicated manager embedded in your facility, running workforce flow from the floor.

How Do I Choose a Manufacturing Staffing Agency for My Plant?

Choose a manufacturing staffing agency based on proof, not promises: documented screening and safety training processes, verified fill times with a replacement guarantee, direct experience in your industry, transparent markup rates, and a local branch with a decision-maker you can actually call. Ask every agency the same seven questions and compare the specifics. And remember: vague answers are your cue to keep looking.

Want to see what good looks like? One medical device manufacturer went from 70 open roles to 2.5x headcount, 76% lower turnover, and 46 temps converted to full-time in one year.
