Administrative Assistant – Support, Organize, and Thrive!

Staffmark is hiring an Administrative Assistant in Vista, CA, for a manufacturing client. This role supports accounts payable, human resources, and office administration. The ideal candidate is detail-oriented, highly organized, and experienced in accounting and administrative tasks within a fast-paced manufacturing environment. Apply today to join a dynamic team!

 

Pay Rate: $22-$27 per hour (DOE)

 

Essential Functions:

Accounting Responsibilities

  • Review and verify invoices against purchase orders and system receipts before posting.
  • Route non-inventory invoices for proper approval prior to posting.
  • Accurately post invoices to the correct general ledger (GL) expense and prepaid accounts.
  • Monitor and reconcile unvouchered payables and received-not-invoiced transactions.
  • Generate AP aging reports and process weekly vendor payments via check and EFT.
  • Review vendor statements to ensure records are accurate and up to date.
  • Perform daily bank reconciliations for cleared and outstanding checks/payments.
  • Reconcile credit card receipts to monthly statements.
  • Maintain an organized filing system and assist with month-end close procedures.
  • Support inventory transaction monitoring and assist in resolving invoice posting delays.

Administrative & HR Support

  • Distribute and manage weekly temp timecards for staffing agencies.
  • Assist with employee onboarding, including preparing new hire documents and conducting orientation.
  • Provide general HR administrative support, including filing, data entry, and maintaining employee records.
  • Assist with benefits administration, including employee enrollment and open enrollment support.

Office Administration

  • Greet and check in visitors, ensuring a professional and welcoming environment.
  • Provide administrative support to various departments as needed.

Qualifications & Skills

  • High school diploma or GED required (Associate degree in accounting or bookkeeping preferred).
  • Minimum of 2 years of experience in accounts payable and administrative support (preferably in a manufacturing environment).
  • Strong communication and problem-solving skills with the ability to resolve invoice discrepancies and financial issues.
  • Ability to handle confidential information related to financial and employee records.
  • Strong attention to detail and ability to work in a deadline-driven environment.
  • Understanding of accounting concepts and general ledger accounts.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Adobe Acrobat).
