Japanese Bilingual Purchasing Assistant

Job Description:


Position Title: Japanese Bilingual Purchasing Assistant Location: Torrance, CA (Onsite) FLSA Status: Non-Exempt Working Hours: 9am – 6pm (3 days a week ) and 8am – 5 pm (Friday + 1 days a week) (M – F) 

Overview: The Purchasing Assistant will be responsible for supporting the purchasing department in sourcing and procuring materials and supplies as well as arranging product orders. The main objective will be to ensure that all purchases are made in a timely manner, adhere to budgetary guidelines, and meet quality standards.  The ideal candidate for this role is a proactive individual with excellent communication skills and a strong interest in product planning and inventory management of food and/or beverage, value-added ingredient, or nutraceutical ingredient industry.

Essential Duties and Responsibilities include but not are limited to: •           Assist in the procurement process by identifying suppliers, obtaining quotes, and conducting price comparisons to ensure cost-effective purchasing decisions. •           Ensure accurate data entry by creating and verifying purchase information, including product cost and shipping instructions. •           Coordinate with vendors and suppliers to track order statuses, resolve delivery issues, and maintain positive working relationships. •           Prepare purchase orders with accuracy in quantity, specifications, and delivery requirements. •           Coordinate air shipments, verify fright invoices, and complete product information and invoice entry into systems (QuickBooks). •           Calculate carrier shipping costs and provide quotes to the sales team. •           Create necessary documentation for shipments exporting to international destinations. •           Monitor product deliveries for schedule adherence and quality standards, generating reports on shortages, delays, errors, and damages. •           Communicate with co-packers and vendors to ensure accurate prices and quantities as well as timely deliveries.  •           Forward and process invoices from vendors and co-packers to accounting teams. •           Confirm inventory status with co-packers to maintain appropriate inventory levels, and updating teams with production loss percentages and remaining inventory.  •           Conduct research on potential suppliers, evaluate their capabilities, and negotiate favorable terms and pricing. Request samples of materials and follow up as needed. •           Keep accurate records of purchase orders, invoices, supplier and pricing list, and other purchasing-related documents. •           Provide administrative support to the purchasing team, such as preparing reports, maintaining databases, and organizing relevant documentation. •           Collaborate with other departments, such as finance and inventory management, to ensure smooth coordination of purchasing activities. •           Coordinate product change notifications to co-packers, vendors, and freight logistics providers. •           Prepare necessary forms, such as requisitions and purchase orders, upon request. •           Other duties requested by Management.

Qualifications: •          Bachelor’s degree in business, communication, or a related field. •          Minimum of 1 year of office experience (preferred). •          Experience in purchasing, procurement, and/or supply chain roles, or a strong interest and eagerness to pursue a purchasing career. •          Demonstrated understanding of, or keen interest in, the dynamics and trends of the food and beverage industry. •          Excellent communication, presentation, and negotiation skills. •          Ability to build and maintain strong relationships with clients.    •          Self-motivated, results-oriented, and able to work independently.    •          Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). •          Bilingual proficiency in Japanese and English (reading, writing and speaking) to communicate with teams in the U.S. and Japan.

Pay range minimum: $ 21.00
Pay range maximum: $ 24.00
The base pay range above represents the low and high end of the base compensation range we reasonably expect to pay for this position. Actual base compensation will vary and may be above or below the range based on a range of factors including, but not limited to, geographic location, actual experience, and job performance.
